Privacy policy

The Geelong Fragrance Fair is presented by the Olfactive Society Inc. This policy explains what personal information we collect when you visit this website, get in touch or buy a ticket, how we use it, and the choices you have. We handle your information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Who we are
In this policy, “we”, “us” and “our” mean the Olfactive Society Inc., the not-for-profit association that organises the Geelong Fragrance Fair. If you have any questions about your privacy, you can reach us through our contact page.
Information we collect
We only collect what we need to run the Fair and respond to you. That includes:
- When you contact us: your name, email address and the contents of your message, sent through the form on our contact page.
- When you buy a ticket: ticket sales are handled by our ticketing partner, Humanitix. We receive the details needed to manage your booking and entry, such as your name, email address and order information.
- If you sign up for updates: your email address, so we can send you news about the Fair. You can unsubscribe at any time.
- Automatically: our website host keeps standard server logs (such as your IP address and browser type) to keep the site secure and running. This site does not run advertising or third-party tracking scripts.
How we use your information
- To respond to your enquiries and provide the information you ask for.
- To manage ticket bookings, entry to the Fair and any event communications.
- To send you Fair updates, where you have asked to receive them.
- To keep the website secure, and to understand and improve how it is used.
Ticketing and payments
Tickets are sold through Humanitix, a not-for-profit ticketing platform. When you buy a ticket, your information is collected and handled by Humanitix under their own terms and privacy policy, and your payment card details are processed by Humanitix and its payment providers. We never see or store your full card details. Please read the Humanitix attendee terms and their privacy policy for how they handle your information.
Who we share it with
We do not sell your personal information. We only share it where it is needed to run the Fair, for example with our ticketing partner (Humanitix), our website host (Netlify) and trusted service providers who help us operate, or where we are required to by law. Some of these providers may store data outside Australia.
Cookies and analytics
This site keeps cookies to a minimum and does not set advertising or cross-site tracking cookies. Our host may record basic, non-identifying request information to protect the site and measure performance. You can block or delete cookies in your browser settings at any time.
Keeping your information
We keep your personal information only for as long as we need it for the purposes above, or as required by law, and then remove it. We take reasonable steps to protect it from misuse, loss and unauthorised access.
Data breaches
If we become aware that your personal information has been lost, or accessed or disclosed without authorisation, we will act quickly to contain it, assess the risk to you, and put things right. Where the law requires, we will notify you and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme. Your rights
You can ask us to access or correct the personal information we hold about you, or make a complaint about how we handle it, through our contact page or by writing to the Privacy Officer, Olfactive Society Inc., PO Box 363, Drysdale VIC 3222. We take privacy complaints seriously and will do our best to respond within seven days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Children
This website and the Fair are intended for a general audience and are not directed at children. We do not knowingly collect personal information from children without the consent of a parent or guardian.
Changes to this policy
We may update this policy from time to time. Any changes will appear on this page with a new “last updated” date.
